Configure Email Channel

Who this is for

Anyone setting up email notifications for alerts and system events.

What you will complete

Add an email notification channel, verify delivery, and configure when it receives notifications.

Before you begin

  • Admin or Owner role required.
  • Have the destination email address ready (e.g., alerts@yourcompany.com or your personal email).

Step-by-step: add an email channel

  1. Go to Settings → Notification Channels.
  2. Click Add Channel.
  3. Select Email as the channel type.
  4. In Channel Name, enter a descriptive label (e.g., "DevOps Alerts Email" or "Boss Email"). This is only for your reference.
  5. In Email Address, enter the destination email address.
  6. Click Add Channel.
  7. The channel is created and appears in the channel list with "Unverified" status.

Step-by-step: verify the email channel

  1. Find the new email channel in the channel list.
  2. Click Test on the channel row.
  3. CloudAIPilot sends a test notification to the configured email address.
  4. Check your inbox (and spam folder) for a message from CloudAIPilot.
  5. Once confirmed received, the channel status updates to Verified.

If the test email does not arrive within 5 minutes:

  • Check your spam or junk folder.
  • Verify the email address was entered correctly — click Edit (pencil icon) to check.
  • Confirm your email provider is not filtering messages. Try a different email address if needed.

Configure digest mode (optional)

By default, the email channel sends notifications immediately. To reduce email volume, change the digest mode:

  1. Find the email channel in the channel list.
  2. Click the digest mode dropdown next to the channel (shows "Immediate" by default).
  3. Select a digest interval: 5-min, 15-min, 1-hour, or Daily.
  4. The setting saves immediately.

Recommendation: For a shared team email address, use 15-min digest to prevent email flooding during incident storms. For a personal email, Immediate or 5-min digest gives the fastest response time.


What success looks like

  • The email channel shows Verified status after a successful test.
  • The channel shows Active status (green power icon).
  • When an alert fires in CloudAIPilot, an email arrives at the configured address within the digest window.

Common errors and fixes

"Test email never arrived" Fix 1: Check the spam/junk folder. CloudAIPilot notification emails may be filtered by corporate spam filters. Fix 2: Add the CloudAIPilot sending domain to your email allowlist. Fix 3: Try a personal email address (Gmail, Outlook) to confirm delivery works before troubleshooting corporate email.

"I entered the wrong email address" Fix: Click Edit (pencil icon) on the channel. Enter the correct email address in the Email Address field. Click Save Changes. Send a new test to verify.

"I want to send to multiple email addresses" Fix: Add multiple email channels, one per address. Each channel is independent.
